ThinkSafe Ltd. ("ThinkSafe", "we", "us", "our") operates the ThinkSafe Go and ThinkSafe Field Data mobile applications and web platforms (collectively "the Service"). This Privacy Policy explains how we collect, use, store, and protect your personal information when you use any ThinkSafe application.

By using our Service, you agree to the collection and use of information as described in this policy.

Information We Collect

Account Information

When your account is created, we collect your:

  • Full name

  • Email address

  • Phone number (optional)

  • Role within your organisation

Health and Safety Records

When you submit forms through our applications, we collect the information you enter, which may include:

  • Descriptions of hazards, incidents, near misses, and safety observations

  • Site inspection results and corrective action records

  • Pre-start meeting attendance records

  • Critical risk verification records

  • Job hazard analyses and site specific safety plans

  • Equipment and plant inspection records

  • Training and induction records

  • GPS coordinates at the time of submission

  • Photos taken or uploaded during form completion

  • Digital signatures

Licence and Certification Records

If your organisation uses licence tracking, we collect:

  • Licence type, number, and issuing authority

  • Issue and expiry dates

  • Photos of licence cards

Visitor Information

If your organisation uses QR code visitor sign-in, we collect visitor names submitted through the public sign-in page.

Technical and Usage Data

We automatically collect certain technical information when you use the Service, including:

  • Device type and operating system version

  • IP address

  • App version

  • Error logs and crash reports

  • Date and time of activity

How We Use Your Information

We use the information we collect to:

  • Provide and operate the ThinkSafe applications and platform

  • Send authentication emails and login codes

  • Send notifications about overdue corrective actions, high-risk hazards, and expiring licences

  • Generate PDF exports of form submissions

  • Provide health and safety support services as part of your ThinkSafe membership

  • Monitor and improve the reliability and performance of the Service

  • Comply with our legal obligations

How We Store Your Information

Your data is stored securely on Microsoft Azure infrastructure located in Australia (Australia East region). We implement the following security measures:

  • Encrypted data transmission (TLS/HTTPS)

  • Encrypted database connections

  • Role-based access controls

  • Multi-tenant data isolation — your organisation's data is never accessible to other organisations

  • Private file storage with time-limited access tokens for photos

No method of transmission over the internet or electronic storage is 100% secure. While we use commercially reasonable means to protect your information, we cannot guarantee absolute security.

Third-Party Service Providers

We use the following third-party services to operate our applications. These providers process your data only as necessary to deliver their services on our behalf and are contractually obligated not to use your information for any other purpose.

We do not sell your personal information to any third party.

Data Retention

We retain your personal information for as long as your organisation holds an active ThinkSafe account. Health and safety records may be retained for longer periods where required by applicable health and safety legislation.

When an account is closed or deleted, your personal data is removed from our systems within 30 days, except where we are required to retain it by law.

Your Rights

Under the New Zealand Privacy Act 2020, you have the right to:

Access the personal information we hold about you

Request correction of inaccurate information

Request deletion of your information (subject to legal retention requirements)

Account Deletion

You can request deletion of your personal account data at any time by:

Using the Delete Account option within the app (Settings → Delete Account), or

Contacting us at info@thinksafe.co.nz

Requesting account deletion removes your personal profile and login access. Your name, email address, and phone number will be permanently deleted. Health and safety records you have submitted remain on the system as they form part of your organisation's compliance records and are owned by your employer, not your personal account. These records are required to be retained under the Health and Safety at Work Act 2015.

Account deletion is not cancellation of your organisation's ThinkSafe membership. For queries about your service agreement or membership terms, contact us at info@thinksafe.co.nz.

Children's Privacy

Our applications are professional workplace health and safety platforms intended for use by employees and contractors in a work context. We do not knowingly collect personal information from anyone for non-work purposes. If you believe a minor has submitted information inappropriately, please contact us at info@thinksafe.co.nz and we will take appropriate action.

Location Data

Our applications may request access to your device's location to capture GPS coordinates at the time of a form submission. Location data is only collected when you actively submit a form — we do not track your location continuously or in the background. You can deny location permission at any time in your device settings, though some form fields may be unavailable as a result.

Camera and Photo Library

Our applications may request access to your device camera and photo library to capture or upload photos as part of form submissions and licence records. Photos are stored securely in our private file storage and are only accessible to members of your organisation.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the updated policy at this URL. The date at the top of this page reflects when the policy was last updated. Continued use of our applications after changes are posted constitutes acceptance of the updated policy.
